Position Summary
We are hiring a Payroll Administrator with at least 5 years of experience to work in our HR department. This position reports to the Supervisor HR & Payroll and is located in our White Plains, New York headquarters. 

We are seeking an experienced, detail driven Payroll administrator who will serve as the sole owner of U.S. payroll operations for our growing company. This role is expected to ensure accurate, timely, and compliant payroll processing for our 350–400 employees across multiple states and functions.
 
The ideal candidate brings expert level ADP Workforce Now experience, strong payroll governance and SOX readiness, and the ability to independently manage payroll, timekeeping, reporting, and compliance in a fast paced environment.  This role partners cross-functionally and will help automate and build scalable payroll processes to support ongoing organizational growth.

Duties and Responsibilities
Payroll Ownership & Processing
  • Serve as the primary and sole payroll owner, accountable for end‑to‑end U.S. payroll operations.
  • Process biweekly payroll for exempt and non‑exempt employees across multiple states.
  • Audit payroll registers, validate gross‑to‑net results, reconcile discrepancies, and ensure accurate tax withholdings.
  • Maintain employee data in ADP Workforce Now, including new hires, job changes, terminations, compensation adjustments, and earnings codes.
  • Ensure compliance with wage and hour laws, federal and state regulations, and company policies.
  • Ad-hoc projects as requested
Timekeeping, Systems & Reporting
  • Manage time & attendance workflows, approvals, and exception handling.
  • Own payroll configuration, testing, and process optimization within ADP Workforce Now.
  • Develop and maintain payroll SOPs, calendars, training materials, and audit documentation.
  • Prepare payroll reports for Accounting, HR, Finance, and auditors (SOX, internal audit, and external audit readiness).
  • Ensure accurate quarter-end and year-end processing, including W‑2s and required filings.
Compliance, Audits & Controls
  • Maintain compliance with federal, state, and local payroll laws, including FLSA, multi-state taxation, and required notices.
  • Support 401(k), HSA/FSA, benefits premiums, and other deductions through accurate administration and funding reconciliations.
  • Partner with Finance and external auditors to meet public‑company compliance standards, including payroll controls, testing, and documentation.
  • Monitor legislative changes impacting payroll and proactively adjust processes.
  • Process all garnishment requests
Benefits Integration & Cross‑Functional Partnership
  • Coordinate benefit enrollments, changes, and payroll deductions in partnership with HR and benefit vendors.
  • Support HR on compensation changes, job structure updates, and employee inquiries.
  • Collaborate with Accounting for journal entries, GL reconciliation, and financial close requirements.
  • Workers Compensation, Short-term and long-term disability management
  • FMLA management
  • Process all tuition reimbursement requests, employee referral bonuses, and long-term incentive taxes.
Employee Support & Communication
  • Respond to employee payroll inquiries with clarity and a customer‑service mindset.
  • Provide education on pay statements, deductions, tax forms, and policies.
  • Lead communication and training during system upgrades or process changes.
  • Maintain employee files (setup new files and maintain existing files)
Qualifications and Skills
  • Bachelor's degree or equivalent professional work experience.
  • 5+ years of U.S. payroll experience with sole owner or lead payroll responsibilities.
  • Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) a plus.
  • Advanced ADP Workforce Now expertise with strong configuration, troubleshooting, reporting, and audit usage. 
  • Experience processing biweekly payroll for 500+ employees across multiple states.
  • Strong understanding of payroll controls, compliance, taxation, and reporting.
  • High Excel proficiency (VLOOKUP, pivot tables, reconciliation).
  • Experience partnering cross functionally, and beneficial to have experience with private and public company / SOX-controlled environment.
  • Experience with ADP reporting, analytics, and implementation optimization.
  • Exposure to 401(k) administration, 403(b), or other retirement plan funding.
  • Highly collaborative, team player that initiates process improvements.
  • Strong attention to detail and highly organized.
Work Hours and Arrangements
Monday - Friday: standard business hours. Three days onsite in White Plains NY office per week required.    This requirement may change based on business needs.

Must be able to remain in a stationary position for an extended period.

Pay
The range for this role is anticipated to be $65,000-$80,000 annually with bonus for eligible positions. Where a specific pay range is noted, it is a good faith estimate at the time of this posting.  The actual salary offered will be based on experience, skills, qualifications, market / business considerations, and geographic location.
