Position Summary
We are seeking an experienced Administrative Assistant to support our Co CEO’s and senior leadership in our White Plains, New York headquarters. This position reports to the Co-CEOs and blends executive administrative support and special event planning and logistics. 

The ideal candidate is a proactive, emotionally intelligent professional who thrives in fast-paced environments and approaches challenges with a solutions-oriented mindset. This role includes managing complex calendars and travel logistics, coordinating impactful meetings and events, and identifying opportunities to contribute to the business’s success. Strong organizational skills, adaptability, professionalism, and discretion are essential for handling sensitive and confidential information, along with effective communication across all levels of the organization.

Duties and Responsibilities

Executive Support (70%)
  • Manage Co-CEO’s and additional executive complex calendars, schedule appointments, and navigate scheduling conflicts.
  • Arrange travel (domestic and international) accommodations, including flights, hotels, and transportation.
  • Process and track travel and expense reports for the Co-CEOs and other executives using Concur.
  • Plan and execute executive-level events, including board meetings, offsite management meetings, and other internal meetings/events.
  • Coordinate, organize, and prepare for meetings, including preparing materials such as presentations and reports.
  • Anticipate executive priorities and offer thoughtful support to ensure smooth operations.
  • Serve as a liaison between executives and internal/external stakeholders.
  • Assist in various projects and meetings and provide support to other Administrative Assistants and the Office Manager as needed.
Administrative and Office Support (30%)
  • Follow and maintain filing and record retention systems and processes.
  • Collaborate with the administrative team who oversee the day-to-day tasks that ensure a well-organized and efficient workplace.
  • Provide backup coverage for the Front Desk Administrative Assistant and general office support as needed.
  • Assist with distribution of incoming mail and other documents.
Qualifications and Skills
  • Bachelor’s degree or equivalent work experience.
  • 10+ years supporting C-suite executives, ideally in Private Equity or Asset Management.
  • Proactive, self-driven with the ability to manage multiple priorities and adapt to shifting deadlines.
  • Strong attention to detail and organizational skills
  • Excellent verbal and written communication skills, with emotional intelligence and a positive collaborative attitude.
  • Experience in event planning, project coordination, and cross-functional collaboration.
  • Analytical skills with ability to suggest process improvements to ensure operations are efficient.
  • High proficiency using Microsoft Office Suite (Teams, Word, Excel, PowerPoint, Outlook).
  • Experience with SAP Concur or similar travel and expense platforms 
Work Hours and Arrangements
Monday – Friday, standard business hours, five days in office required. Work schedule may require occasional extended hours and some travel to offsite meetings, based on business needs.

Must be able to remain in a stationary position for an extended period.

Pay
The range for this role is anticipated to be $75,000-$85,000 annually with bonus for eligible positions. Where a specific pay range is noted, it is a good faith estimate at the time of this posting.  The actual salary offered will be based on experience, skills, qualifications, market / business considerations, and geographic location.
This is a salaried non-exempt position, eligible for overtime in accordance with company policies and federal/state wage and hour laws.
